Admins can invite staff from Settings > Calls & Staff > Manage Staff > Invite Staff. Each invited colleague installs Heyo on their own phone and logs in with the exact mobile number you entered. Heyo Lite supports one staff member; Heyo Pro supports up to four (plus the owner).
1. Prerequisites
• Staff member has a smartphone with the Heyo app installed.
• Admin access to the Heyo app.
• Active Heyo account with completed KYC verification.
• Desired department already exists (if you plan to assign one).

2. Add a new staff member
Step-by-step (copy-paste path):
- Settings → Calls & Staff → Manage Staff
- Tap Invite Staff.
- Select the contact or type the 10-digit mobile number.
- Choose the department from the drop-down list.
- Tap Send Invitation.
Expected outcome: The person appears in your Staff list as “Pending”. An invitation (email/SMS) is automatically sent.
3. First-time staff setup & login
- Install the Heyo app on your personal phone.
- Open the app and select Staff Login.
- Enter the same mobile number you were invited with.
- Follow the on-screen verification and accept the invite. Success indicator: Their status dot turns green and shows “Available to take calls”.
4. Change a staff member’s department
- Go to Settings → Calls & Staff → Manage Staff.
- Tap the staff member’s name.
- Pick a new department from the drop-down. Instant confirmation appears; the change is live.
5. Why add staff? (benefits)
• One central business number—no new SIM cards required.
• Zero missed calls: if the owner is busy, the call automatically rings the next available staff member.
• Customers recognise every outbound call as coming from the same business number.
6. When does this NOT work? (limits & edge cases)
• You have already reached the staff cap for your plan.
• The staff member tries to log in with a different phone number.
• Older Heyo accounts: all staff were initially assigned to every department; use the steps above to fine-tune assignments.
